The headline rental amount does not explain every possible charge. Ask for a written breakdown covering the rental period, taxes or platform charges, refundable deposit, included mileage and any delivery or collection fee.
Do not send a deposit until the recipient, booking reference, refund conditions and payment channel are clear.
Terms that should be unambiguous
A useful agreement identifies the vehicle or agreed category, authorised drivers, pickup and return times, permitted travel area and what happens if the booking changes.
- Daily or total mileage allowance and excess-kilometre charge
- Fuel level required at return
- Deposit amount, deductions and expected refund process
- Damage responsibility and any applicable excess
- Breakdown, replacement-vehicle and roadside-assistance process
- Late return, extension and cancellation rules
Keep evidence from both handovers
Attach pickup photos, dashboard mileage, fuel level and existing damage to the booking record. Repeat the same process when returning the car and obtain confirmation that the keys and vehicle were received.
